BEFORE YOU RENEW

What should you review before renewing your PEO?

An unexplained renewal increase is a reason to ask better questions. PEO Benefit Partners helps employers understand costs, compare suitable providers and decide whether to stay, renegotiate or switch.

Understand the full price. Separate administration, benefits, workers' comp and extra charges. Compare per-employee and percentage-of-payroll quotes using the same workforce, payroll and service assumptions. Ask what changed when headcount and payroll stayed flat.

Compare providers with independent guidance. We explain the tradeoffs between suitable options and proactively explain who pays us and how our compensation works. Ask any broker which providers they considered, why they recommend them and what the comparison excludes.

Check the commitments. Confirm support ownership, escalation and which sales promises appear in writing. Compare benefits networks, plan design, employee contributions and out-of-pocket costs alongside premiums.

Check deadlines before making a move. Read your agreement and notices for cancellation provisions, fees and effective dates. Payroll, benefits and workers' comp may follow different schedules. If switching makes sense, confirm task ownership, data handoffs, payroll checks and coverage dates with both providers before giving notice.

Staying may be the right answer. We help question unclear fees, terms and service promises without assuming you should leave. Start with your questions: no documents are required for the first conversation. Invoices, proposals and agreements can help with the detailed review later.

GOOD TO KNOW

Your PEO renewal questions, answered

When should we start reviewing our PEO renewal?

Start before your earliest applicable notice or decision deadline, rather than waiting for the renewal quote. Check your signed agreement, amendments and current notices: your PEO service agreement, benefits plan year and other services may follow different schedules. Allow time to gather information, clarify pricing and consider alternatives if needed. If your renewal has already arrived, PEO Benefit Partners can help you identify what to review next based on the time available.

Why have our PEO costs increased at renewal?

A higher renewal total can reflect changes in administrative fees, benefits premiums, workers’ compensation, employee numbers, payroll or the services included. Ask for a breakdown against your current arrangement using comparable workforce information. Separate rate increases from changes in headcount, coverage or usage. An increase alone does not tell you whether your PEO is poor value. PEO Benefit Partners helps employers understand the differences before deciding how to respond.

Should we review our PEO even if we are happy with it?

Yes. A renewal review can help you understand whether the costs, benefits, service and terms still fit your business, even when the relationship is working well. Identify what you value about your current provider and what has changed in your workforce or priorities. The outcome may be staying with greater confidence, discussing specific improvements or exploring alternatives. Reviewing your PEO does not mean you have decided to leave.

Can we negotiate our PEO renewal without switching providers?

You can ask your current PEO to explain its renewal and discuss whether pricing, services or terms can be improved. What is available depends on your arrangement, provider and circumstances; some elements may have limited flexibility. Start with specific questions and a clear picture of your priorities. PEO Benefit Partners can help you assess the renewal and prepare that discussion. A market comparison may provide context, but it does not guarantee a reduction.

How do we compare our PEO renewal with another provider’s quote?

Compare proposals using the same employee information, payroll assumptions, locations and coverage requirements. Look beyond the headline administrative fee to benefits, workers’ compensation, additional charges, technology, service commitments and contract terms. Identify differences in what is included and which responsibilities remain with your business. PEO Benefit Partners helps employers clarify those differences so a lower quoted price is considered alongside the support and coverage it actually buys.

Can we switch PEOs at renewal or during the year?

A switch may be possible at renewal or during the year, but the timing depends on your agreement, notice requirements, potential charges and the new provider’s acceptance and implementation process. Review payroll, benefits, workers’ compensation and employee communications before committing to a date. Avoid treating cancellation as the first step. PEO Benefit Partners can help you explore the practical considerations and questions to resolve before deciding whether to move.

What information should we bring to a PEO renewal discussion?

Bring your renewal proposal if available, a recent invoice, relevant agreement or notice information, and the main questions you want answered. A rough picture of employee numbers, work locations, current benefits and planned changes also helps. You do not need a complete document package to start a conversation. If you choose to proceed with a detailed review, PEO Benefit Partners will explain which additional information is needed and how to share it.

Does speaking with PEO Benefit Partners commit us to changing PEOs?

No. An initial conversation is free and carries no obligation to change providers. PEO Benefit Partners is an independent PEO brokerage and employer advisor. We help you understand your current arrangement and consider appropriate next steps, which may include staying with your provider. Under our usual brokerage model, we are compensated by the selected provider and the employer does not normally pay a separate brokerage fee. Bring your questions and decide whether further review would be useful.

How does PEO Benefit Partners get paid, and how should we assess a broker?

PEO Benefit Partners proactively explains who pays us and how our compensation works. Ask any broker about provider relationships, compensation, the providers considered and the reasons for each recommendation; independence should be supported by clear explanations. We compare suitable options and their tradeoffs, including recommending that you stay when your current provider remains the best fit.

How do we compare per-employee PEO fees with a percentage-of-payroll quote?

Use the same workforce, payroll period and service scope for both proposals. Calculate the administration charge under each pricing method, then separately compare benefits, workers’ comp and additional fees; a lower headline fee may not mean a lower total cost. PEO Benefit Partners helps employers review those assumptions, identify exclusions and compare suitable options before renewing.

Our renewal is up 18%. Does that mean we should switch?

First reconcile the increase by cost component using the same payroll, headcount, enrollment and service assumptions. Ask the incumbent for an explanation and compare alternatives on full cost, employee impact, service and transition requirements. The percentage alone does not decide the outcome.

Which agreement clauses should we discuss before renewing?

Ask about notice dates, renewal mechanics, pricing changes, service scope, benefit and workers’ comp arrangements, data access, termination charges and transition responsibilities. Have unclear terms reviewed by an appropriately qualified adviser before relying on an interpretation.

Our administration fee rose while headcount and payroll stayed flat. What should we ask?

Ask for the old and new fee schedules, calculation basis, minimums, additional charges and the reason for the change. Check that the invoice follows the agreed terms. Separate administration charges from benefits, workers’ comp and other pass-through items.

How can a 120-person business benchmark its administration fees?

Compare the same workforce and service requirements across proposals, including any percentage basis, per-employee charges, minimums, one-off fees and excluded services. Normalize annual cost and service scope; a single average fee is not a reliable benchmark for every employer.

Can we request a competitive review 60 days before renewal?

Start promptly, but check the earliest contractual notice and decision deadlines first. Confirm the information and implementation time needed before promising a market comparison or change by renewal. PEO Benefit Partners can help clarify the practical options from the time available.

Can someone help reconcile our invoice or review a renewal due next quarter?

Discuss the scope with PEO Benefit Partners and bring the current invoice, proposal, renewal date and questions if available. Agree which calculations and terms will be reviewed, which issues need specialist input and the evidence required before any recommendation.
